Which Admin Are You?
Two friends entered the administrative profession on the same day. Joan and Melanie took the same educational program together, both joined similar sized companies and both started with similar duties. Five years later, however, Joan has been promoted twice, has two junior employees reporting to her, is assuming an ever-expanding range of duties and enjoying growing respect in the company. Melanie, on the other hand, has twice been the victim of downsizing and is looking for another job similar to the previous two. Why is Joan moving forward on a promising career track, while Melanie seems to be falling by the wayside? The answer is surprisingly simple: Joan took control of her career. While Melanie was doing her job quite well, and assuming things would go well if she did what was required of her, Joan was paying attention to the world around her. She saw circumstances changing at her company and realized that while many of the changes put her position at risk, they also contained the seeds of opportunity. She made two conscious decisions: She would take every opportunity that presented itself to increase her value as an employee, and she would take her career the way she wanted it to go, instead of leaving herself at the mercy of others’ whims. Then she acted on her decisions, and as a result, she is where she wants to be, and plans to continue carving out her own career path. Which admin are you? Do you worry about being buffeted about by the storms of change? Or do you constantly work to raise your skill level, not only in the traditional admin duties but also in the ever-expanding range of new functions and opportunities? HelloI’m Helen Wilkie. In the course of my work as a speaker, trainer and consultant, I constantly run into admins who tell me they are frantically worried about their futures in this profession. They say they would love to have more control over their current jobs as well as their career prospects, but just don’t know how to go about it. Because I know those who have had a chance to speak to me about this are only the tip of the iceberg, and there must be thousands more out there with the same worries, I created my CD-based program, Nobody’s "Girl". It’s a SEMINAR-IN-A-BOX, made up of two different types of audio lessons. First, my own sessions, detailing skillbuilding techniques to help yoenhance the skillsets so much in demand for the 21st Century admin. It’s no longer just about technical skills, it’s about people management skills, how to deal with people, how to be the oil that keeps the system running smoothly, how to truly bring recognizable value to your organization. Second, through the medium of interviews with experts in their fields, the seminar brings you practical ideas to consider, and specific steps to take, to manage your career as a 21st Century Administrative Professional. The specially designed, reusable Learning Guide is your own implementation tool. Use it over and over as you focus on improving various aspects of your job, or as you work on your career plan on an ongoing basis. WARNING: This program is not for everybody. You really should not buy this program if you are satisfied to keep doing the same things today that you did yesterday, for as long as these things are in demand. If you are just passing time until you retire or marry, or don’t want to take control of your own admin career, the program is not for you. Spend your money on something else. BUT, if you love being an admin and want to stay on the leading edge of what is and will be in demand by employers, then YES, this seminar-in-a-box is for you! Ready to know more? OK, let me tell you just a little about what you will find on the program. The Communication Contract In today’s world the technology for communication is growing every minute of every day. We have stuff today that didn’t exist five years ago. We invent new stuff so fast we keep having to invent new words for it! Yet in every organization I work with I hear complaints that "there’s no communication around here". What’s wrong with this picture? What’s wrong is that we still haven’t figured out the difference between information and communicationand believe me, there is a big difference. Have you ever sat looking at your television set, but not really paying attention? The person rambling on screen is putting out information, but has he or she communicated? Not with you! Why? Because communication has to be a two-way street. In this case, the message was sent out, but you weren’t paying attention, so it wasn’t received or understood. So there was no communication between the person on the screen and you. Do you realize how often this happens in the workplace? In your own organization? Every day! All the time! One half of the Communication Contract isn’t completed, so there is a breach of the contract. That’s why there’s "no communication around here!" And it’s not just a problem with spoken messagesthere’s also the written word, and even the way we send and receive messages with no words at all. But no matter which form, it ALWAYS has to be a two-way streetand all too often, it’s not. One party breaches the contract, and communication breaks down. Time and again as I present these ideas at conferences and in-house training programs, I see people’s faces light up as they finally understand what’s been going wrong and how they can correct it. AND NOW YOU CAN TOOwhen you listen to Nobody’s "Girl"! Yin and Yang Have you ever listened to a colleague of the opposite sex during a meeting and said to yourself, "Are we speaking the same language?" Well, the answer is, Yes...kind of! You’re saying the same words, but you’re not necessarily using them to mean the same thing. This causes major problems for people at work. It’s complicated, but it goes back to our childhood. All animals use play as preparation for adulthood, and human beings are no different. Problem isboys and girls play very differently and learn very different lessons. Then, as adults, we come together at work and don’t realize how all that baggage from childhood affects how we think, how we act and how we express ourselves. In other words, how we communicate. No wonder there’s "no communication around here!" After you listen to this section of the program, a big light bulb will go on over your head, as you suddenlyfinallyunderstand the reason for all those disagreements and problems between men and women at work. (Some of my clients have told me it explains some things at home too!!) But understanding is just the beginning. After I explain how we got to where we are, I don’t just leave you hanging. No, I then go on to talk about what we can do about the resulting problems we have as both men and women trying to work effectively together. Just this one session in the program can change your careerand perhaps even save your sanity Never be lost for words again! Your boss is holding a meeting with some high level colleagues, and you are taking notes. You’re quite comfortable sitting there quietly doing your job. But they are discussing a corporate initiative that affects your department, and suddenly your boss asks you what you think. Think? You hadn’t planned on thinkingyou were just writing down their ideas! Now it seems your brain has switched off, and after "heming and haahing" for a moment or two, you stumble through an uninspired response that does nothing for your professional image. Not your finest hour! HAS THIS EVER HAPPENED TO YOU? HAVE YOU EVER BEEN STUMPED FOR WORDS JUST WHEN YOU WANTED TO MAKE A GOOD IMPRESSION? The ability to think on your feet and make your points in an organized way without previous planning is a highly valued skill. Those who have it OOZE confidence! People pay attention to them&Mac226; they have influence. When you are taking minutes at a meeting, you feel you should write down every word they say because it just sounds so important! Have you wished you had this talent? Well, you’d be surprised how easy it is to develop this career-building, personal branding skill. There’s a very simple formula you can use in any situation to organize your thoughts and express them powerfully. Simple yesbut little known. If more people knew this secret, there wouldn’t be this great fear of public speaking that overwhelms people. Maybe I shouldn’t give this secret awayI might lose some of my own mystique! Oh well, OK, I’ll tell you anyway. I have a bit of a soft spot for admins, and that’s why I am giving you not just this secret, but all these powerful tools to help you sharpen your skills as well as manage your career. Listen to Nobody’s "Girl" and learn this technique, and you need NEVER BE LOST FOR WORDS AGAIN! Listen up! "Nobody tells me anything around hereI’m always the last to know!" I hear this complaint in every organization I work with. Ever heard this at work? (Ever said it yourself?!) But have you ever heard those same folks say, "I never listen"? Well that’s the problem! Most of us don’t listen as well as we think we doand many don’t listen at all. "So what?" you ask. Wellthis is the number one reason for communication breakdown! This is the reason for misunderstood instructions and the mistakes that result. This is the reason people alienate each other so that teambuilding is next to impossible. Master the art of listening and you automatically raise your value in the eyes of colleagues, bosses, friends and family alike. Two monologues don’t make a dialogue. If you want to be known for your fine conversational skills, master the art of listening from this section of Nobody’s "Girl". Frame the message One of the biggest complaints I hear from admins is, "Nobody listens to me!" You have great ideas, you put them forward to your boss or at departmental meetings, but nobody seems to see their value, or even to hear what you said. The answer is to frame your message specifically for the person you are speaking to. In fact, this kind of framing is one of the most important techniques in persuasive communication, because you do it with words. It’s like wall artyou can make it look different, depending on the frame you put on it. You can tailor your message to persuade different audiences by "framing" it in different words. Win all the arguments. Get people onside with all your ideas, every time. Sell your ideas to whomever you need to, any time you want. Now, how useful will that be on the job? Not only will you be the great persuaderbut you will have the advantage of knowing WHEN and HOW others are trying to influence YOU!! Learn all about the art of framing in Nobody’s "Girl". Those darned meetings How many meetings go on in your organization on any given day? Any week? A month? What about a year? If you could count them, you’d probably be staggered. But that’s nothing to how Management would feel if they knew how much all these meetings cost! There’s the hourly salary costs of the people of course, but that’s just the beginning. Then there’s all those photo copies for everyone, binding them to make impressive reports. There’s the productivity that’s lost while they "meet" instead of "doing". And of course, I haven’t even mentioned all the coffee and donuts that seem to be essential to bringing brains to the meeting. In this section of the program, I’ll show you how your company could easily be spending millions of dollarsyes, millionson these unproductive meetings. Unlike the secretary of the past, today’s admin is often part of these meetingsand not just to take minutes. You may well be asked to take part in the discussion, giving your opinion on wide ranging subjects. And make no mistake, a meeting is not only a business tool, it’s an opportunity to position yourself as the professional you are. Becoming meeting savvy is a great way to raise your visibility and improve your career prospects. In Nobody’s "Girl" you’ll learn the techniques used by great meeting leaders, as well as how to make the most of the time you spend in other people’s meetings. Have you ever been angry at work? Well, my friend, if you haven’t, then you must be a saint! People make other people mad. That’s just the way it is, especially when folks have to work together every day. As the saying goes, if you can keep your head while all around are losing theirsperhaps you just don’t understand the depth of the problem! ACTUALLY, WHILE THAT MAY BE GOOD FOR A CHUCKLE, IT’S NOT REALLY TRUE. There are people who can keep their heads in the face of disaster, and who can not only respond to other people’s anger without losing their own temper but actually bring the other person back to a functional state of mind. You see, that’s the problem with anger in the work place. It puts people in a place where they can’t think straight, can’t function in the way they should. And you can’t reason with someone in that state, because they literally can’t even hear you. So what can you do? Well, start by ordering this program and listening to what I have to say about handling angerboth yours and other people’s. Because some people can keep their cool, even when others are losing it. As an admin, you may well be the one they rely on to bring order back to the chaos. Managing your career Building and sharpening your skills is vital, of course. However, in today’s business climate, especially in the changing world of administrative work, you need to manage your career. Gone are the days when you could pretty much count on your job staying the same as long as you worked in it. It’s also unwise to count on any company for cradle-to-grave employment, because it just doesn’t work that way any more. So it’s up to each of us to take responsibility for our careers and take control of how they evolve. In Nobody’s "Girl", I conducted four interviews with experts. Each brings expertise in a different field, and each one gave me invaluable information YOU can use to take control of YOUR career. • First, if you need any inspiration about having a fulfilling career as an admin, you will love listening to Marcia O’Hearn talk about her career, her membership in IAAP (the International Association of Administrative Professionals) and her advice to those just starting out as admins. MARCIA HAS CONFIDENCE IN THE FUTURE OF THE PROFESSION, BUT WARNS THAT ONLY THE CREAM OF THE CROP WILL HAVE A SHOT AT THE GOOD JOBS. Nobody’s "Girl" was created to help YOU become part of that elite group. • Perhaps you are at a point where you would like to change jobs, and have wondered what is out there. Personnel placement professional Keiran Glynn tells you what employers are looking for today when they hire admins. Of course, there are new skills and a widening range of duties for admins, but you might be surprised to learn that THE PERSONAL ATTRIBUTES MOST IN DEMAND HAVE NOT CHANGED ALL THAT MUCH FROM YEARS AGO. • Many admins find themselves involved in planning important meetings, some of which take place offsite at hotels or other meeting places. If you do this work, or if you are interested in learning about it, you won’t want to miss my chat with professional meeting planner Helen Van Dongen. Helen helps us cut through some of the industry jargon, as well telling us how to negotiate great deals with hotels and other meeting venues. IF YOU’D LIKE TO BE A HERO BY RUNNING A SMOOTH-AS-SILK MEETING WITHIN BUDGET, HELEN IS THE ONE WHO CAN TELL YOU HOW! • Lastly, there’s a session for those who love admin work but are ready for a challenge and a look at the world outside the corporate scene. Mary Singleton has been operating her own business for several years as a freelance admin, or "virtual assistant". In this interview, she tells how she did it and how you can too, what services you can offer to clients and how to decide what to charge for them. ANSWER MARY’S ‘BIG FIVE’ QUESTIONS AND FIND OUT WHETHER THIS LIFESTYLE IS FOR YOU! The role of the admin has changed dramatically, but that’s not necessarily a bad thing. These interviews will give you food for thought about how you can guide your career in the way you want it to go, instead of drifting at the whim of others. All this and more! All this valuable career-building information I’ve been describing is available to you on Nobody’s "Girl", the CD-based program I created specially for you. I promise the program will give you all I describe and more. You owe it to yourself to make this investment in your career and your future.
